In heating and cooling the same address comes back for years, and what matters is what is bolted to the side of the house. A record with a name and a phone number cannot tell you that this furnace is thirteen years old, that the last two visits were the same intermittent lockout, or that the homeowner declined a replacement quote in June and it is now January. Neuron keeps the equipment type and age, every no-cool and no-heat visit against it, the maintenance plan and its outstanding tune-ups, and the estimate notes — so the next conversation starts where the last one stopped.

What an HVAC record holds

No-cool / no-heat visit history against that unit
Maintenance plan and the tune-ups it still owes
Estimate notes, including the ones declined
Parts and work done on previous visits

HVAC CRM FAQ

Why does the equipment matter more than the contact?

Because the repair decision depends on it. A thirteen-year-old unit on its third failure is a replacement conversation; the same symptom on a four-year-old unit is a warranty repair. Keeping the equipment on the property record makes that judgement available to whoever picks up the phone.

Can it track maintenance agreements?

Yes — the plan sits on the customer with the visits it owes, so seasonal tune-ups are scheduled work rather than a list somebody keeps separately. A repair found during a tune-up becomes its own job against the same equipment.

What happens to a declined estimate?

It stays on the record with its notes and its date. When the unit fails again the history is already there — you are not rebuilding the argument from memory, and the follow-up has something real behind it.

Can I bring my existing customers over?

Yes. The CRM is free forever, so you can move your customers and job history in and keep working; you start paying only when you switch on a pay-as-you-go AI service.
