AI receptionist

What your roofing callers say — and who picks up

The receptionist answers storm-driven call spikes, asks what the job needs and books it into the CRM with the caller's details.

  • Caller

“My roof is leaking after the storm.”

  • Caller

“I need an estimate for a replacement.”

  • Caller

“Can someone inspect the roof this week?”

  • Caller

“Shingles blew off the back slope last night and I can see the decking.”

  • Caller

“There's a brown ring spreading on the bedroom ceiling and it rained again.”

  • Caller

“The flashing around the chimney looks pulled away — how soon can you look?”

What a CRM for roofing contractors holds

A roofing CRM earns its keep years after the first job, because the same address comes back to a roofing contractor in pieces: a storm repair one season, an inspection before the house is sold, a full replacement after the next hailstorm. A customer list with a name and a phone number cannot say what the roof is, what the last inspection found, which quote is still waiting, or whether the shingles are under warranty. Neuron keeps leads, inspection findings, estimates, materials and warranty notes against the address, so the next call starts from the roof's real history. The homeowner sells and the estimator moves on; the address and its notes stay.

New roofing leads on a pipeline until the inspection is booked
Property and roof system notes
Inspection findings from every visit
Estimates tied to their inspection
Material and warranty notes
Storm-event history against the property
Follow-ups tied to a declined estimate
Roof type, pitch and layer count held as notes on the address
Flashing, decking, shingle and gutter findings kept per inspection
Hail and wind events dated against the roofs they touched
Adjuster meetings and insurance notes kept on the property
Repair work and replacement estimates told apart on the record
Shingle line, colour and underlayment noted once the job is accepted
Manufacturer warranty and your own workmanship warranty kept side by side
Open estimates listed with the homeowner's last answer
Commercial roofs recorded by membrane type, with the building contact
Several roofs under one owner, each with its own history
Existing customers and past jobs brought in from a spreadsheet or another tool

Roofing CRM FAQ

What makes a CRM for roofing contractors different from a general CRM?

A general CRM files a contact and a deal. A roofer sells to the same roof several times over a decade, so the record here is the address: roof type and layers, every inspection, each estimate and its answer, the storm that hit it, the materials installed and the warranty on them. The homeowner is attached to the roof, not the other way round.

How does it track roofing leads before the inspection?

A new lead sits on the pipeline as a request with the address and what the caller described — a leak, missing shingles after the wind, a quote for a house going on the market. It moves to inspection booked, then estimate sent, then won or lost. A lead nobody has called back is visible as exactly that, instead of a sticky note on the truck dashboard.

Why keep roof system and warranty details on the record?

Because they decide the next conversation. A roof already flagged at inspection for wear is a different call than a first storm-damage report, and the warranty notes decide whether a repair is a call to the manufacturer or a paid job.

What happens after an inspection?

The findings stay on the record with the estimate they produced, so a customer who calls back in a month is picking up the same conversation instead of starting a new inspection from nothing.

Can I import my existing customers?

Yes. You can move existing customers and history into the free CRM foundation and keep working; phone, AI Receptionist and other paid operating capabilities are added through Business Core when you need them.

What exactly do I write down about a roof?

What your inspector already writes on the clipboard: roof type, pitch, layers, the flashing at chimneys and valleys, soft spots in the decking, the state of the gutters. They are notes on the property, so they stay when the estimator who wrote them leaves. The CRM does not measure the roof or read it from a photo.

How does a storm show up in the history?

As an event against the address. If hail went through in June and the same house calls in September about a stain on the ceiling, the record shows the June storm, what the inspector found afterwards, and whether an estimate went out. After a new storm you can see which past customers' roofs were in its path and call them first.

What about a homeowner who got an estimate and went quiet?

The estimate stays open on the record with its inspection and the date it went out, listed with the others still waiting on an answer. A roof quoted for replacement two years ago that is now leaking is a warm call, not a stranger's. A declined estimate is kept too, with the reason if one was given.

Does it help when insurance is involved?

It keeps your side of the paper in order. The date of the storm, the inspection findings, the adjuster meeting and your estimate sit on the same property record, so you can answer the homeowner's question about what was found and when. It does not file the claim, talk to the carrier or produce an insurance estimate format — that stays between the homeowner, the adjuster and you.

Where do material and warranty details go after the job closes?

On the closed job, against the address: shingle line and colour, underlayment, flashing replaced, the manufacturer warranty and your own workmanship warranty. Years later, when the homeowner calls about a leak above a window, the office can read what was installed before sending anyone out. The CRM keeps the notes; it does not file manufacturer claims.

Can it hold more than one roof for the same customer?

Yes. A landlord with six rental houses or a property manager with a row of buildings is one customer with several properties, and each roof carries its own system notes, inspections, estimates and warranty. A leak at one address does not get mixed into the history of another, and you can still see everything that owner has bought from you.

Does it work for flat commercial roofs as well as shingle work?

Yes. The record is the property and its roof, whatever the roof is. A TPO or EPDM membrane on a warehouse, a standing-seam metal roof on a barn and asphalt shingles on a house each carry their own system notes and inspection findings. For a commercial building you also keep the contact who approves the work, which is often not the owner. It does not calculate squares or material quantities.

Is there a free roofing CRM, and what is not in it?

This one is free on Core with no end date: the customer and roof records, jobs, a basic pipeline for leads and quotes, booking and a calendar, for one production employee. Answering the phone needs Copper, where the business line and the AI Receptionist start. It is the office record of the roof, not a roof-measurement, material-ordering or accounting tool.
